Convert Santander UK statements to Excel or CSV

Santander UK's Download transactions option tops out at 600 transactions per download on personal accounts, so long periods are easier from the PDF e-Documents, usually kept for the last 7 years. Convert those PDFs with BankConv to Excel, CSV or Google Sheets. Statement periods don't follow the calendar month, so check the dates before you total a month.

Do you need to convert at all?

Santander Online Banking has a Download transactions option for a date range or everything since your last download, with Microsoft Excel, Quicken, Microsoft Money and PDF as formats.

Each download is capped at 600 transactions on personal accounts, so long periods need several downloads. Past statements are PDF e-Documents.

What to know about Santander UK PDFs

Statement periods don't follow the calendar month
A current account statement runs from your statement date, so it might cover the 18th of one month to the 17th of the next. To build a calendar month or a tax year, combine two statements and filter by date.
The export stops at 600 transactions
Santander's own transaction download on personal accounts stops at 600 transactions per file. A busy account over a long range can come back incomplete without much warning, so split the range or use the statements instead.
Money in comes before money out
Santander statements usually print Money in before Money out, which is the opposite order to some other UK banks. Check one known payment against the PDF before you build a signed amount column.

How to get Santander UK statements into Excel

Santander gives you two routes. The right one depends on whether you need a transaction list or the statements themselves.

  1. Recent transactions: in Online Banking, open the account and use Download transactions. Pick a date range, choose Microsoft Excel and download. Keep each file under 600 transactions.
  2. Statements: save the PDF e-Documents from Mailbox, then Statements and documents. Upload them to BankConv and export Excel or CSV.

Use the statement route when a mortgage lender or accountant asks for full statements. The PDF shows the balance brought forward and the closing balance, which a transaction download doesn’t.

What to check after converting

Santander e-Documents are usually text-based PDFs. Check these before you import:

  • Opening line: the first row is usually the balance brought forward. Leave it out when you total money in and money out.
  • Totals: compare your Money in and Money out totals with the summary on the statement.
  • Closing balance: the last balance should match the closing balance on the PDF.
  • Dates: the year comes from the statement period, so check rows on a December to January statement.

To bring the rows into Xero, see how to import a bank statement into Xero. For other UK banks, see UK bank statements.

Santander UK statement questions

Can I download Santander UK transactions to Excel?

Yes, for transactions. Online Banking's Download transactions option offers Microsoft Excel, but each download stops at 600 transactions. For full statements, convert the PDF e-Documents in BankConv.

How far back can I get Santander statements online?

Santander says paper-free customers can see account activity from the last 7 years in Online and Mobile Banking. For older periods, you'll need to order copies from Santander.

Why doesn't my Santander statement start on the 1st?

Current account statements run from the date your account was opened or transferred, for example the 18th to the 17th. Combine two statements if you need a full calendar month.

Do I need to give BankConv my Santander login?

No. You download the PDF yourself and upload it. BankConv never connects to your Santander account and never asks for banking passwords.
