Convert a bank statement to QBO

Upload the PDF statement, check the rows, and download a .qbo file. It is a QuickBooks Web Connect file: OFX transactions plus the Intuit bank ID QuickBooks checks. Import it in QuickBooks Desktop under File, Utilities, Import, Web Connect Files, or in QuickBooks Online with Upload from file.

Why convert to QBO

Your bank, named
QuickBooks reads the Intuit bank ID inside a QBO file to decide which bank it came from. BankConv writes the ID from QuickBooks' own list for your bank, so the import names Chase, Bank of America, Wells Fargo or your credit union.
Months the bank no longer offers
Banks offer Web Connect downloads for recent activity only, and some no longer offer them at all. BankConv works from the monthly PDF statements, so older months are covered.
Tested in QuickBooks
We imported BankConv QBO files into QuickBooks for Mac 2024 with the bank IDs for Chase, Bank of America, USAA, American Express and a credit union. QuickBooks accepted each one under the right bank name.

What QuickBooks checks in a QBO file

A QBO file has the same transactions as an OFX file. These are the parts QuickBooks looks at before it accepts one.

  1. 1The Intuit bank ID (INTU.BID) has to be on QuickBooks' list of banks; an unknown ID is rejected with error OL-222. QuickBooks keeps its own list, separate from Quicken's, and BankConv uses QuickBooks' IDs for QBO files.
  2. 2When QuickBooks doesn't list a bank, BankConv uses the generic ID most converters use. QuickBooks accepts it but labels the account Wells Fargo, so link it to the right account when QuickBooks asks. The download warns you first.
  3. 3The account number links the file to an account in your company file. When the statement doesn't show one, QuickBooks asks which account to use.
  4. 4The file is plain ASCII, as QuickBooks Desktop expects: accented letters become plain ones (Café becomes Cafe), and masked account numbers such as •••• 4321 become XXXX 4321.
  5. 5Each transaction has an ID (FITID) that stays the same if you export the same statement again, so QuickBooks can spot rows it already has.

QBO questions

What is a QBO file?

A QBO file is a QuickBooks Web Connect file: OFX data with Intuit fields, including the bank's Intuit ID. QuickBooks Desktop uses it for manual bank imports, and QuickBooks Online accepts it through Upload from file.

Is it free to convert a bank statement to QBO?

Yes, for short statements. The first 5 pages convert free with no signup, and a free account lets you download the file and adds 5 free pages a day. Longer statements cost from $2.99 each ($2.99 for up to 10 pages, then $0.20 a page), or from $19.00 a month on a yearly plan.

Which banks does it work with?

Any bank whose PDF statement BankConv can read. For US banks on QuickBooks' list, which covers the large banks and thousands of credit unions, the file carries that bank's ID. Other banks, including Canadian and UK banks, get the generic ID, and QuickBooks asks which account to import into.

Why does QuickBooks show error OL-222?

QuickBooks shows OL-222 when it doesn't recognise the bank ID in a Web Connect file, often because a converter used an ID from Quicken's list. BankConv uses QuickBooks' own IDs. If you still see it, update QuickBooks so its bank list is current.

QBO, OFX or CSV for QuickBooks Online?

Any of them. QuickBooks Online's Upload from file takes QBO, OFX, QFX and CSV. QBO and OFX need no column mapping; CSV lets you edit rows first.

Can I convert a credit card statement to QBO?

Yes. Credit card statements are written as credit card accounts in the file, so import them into a credit card account in QuickBooks.
