Import a PDF bank statement into MYOB
MYOB's statement import reads OFX or QIF files, not PDF or CSV. Convert the PDF in BankConv and download OFX, then in MYOB Business go to Banking, Banking hub, the account's menu and Import statement. AccountRight on Windows takes the same file through Reconcile Accounts and Get Statement.
Step by step
- 1.
Convert the statement
Drop the PDF into BankConv and check the rows against the PDF. Up to 10 statements at once.
- 2.
Download OFX
Choose OFX. The file is OFX 1.0.2, the older SGML version MYOB editions read.
- 3.
Open the Banking hub
In MYOB Business, go to Banking, then Banking hub.
- 4.
Import statement
On the account, click the three dots and choose Import statement, then Import statement again on the import history page.
- 5.
Choose the account and file
Pick the bank account, click Import statement file, browse to the OFX file and click Import.
- 6.
Allocate or match
The lines appear on the Bank transactions page, ready to allocate or match.
What MYOB expects
- Files
- OFX or QIF in MYOB Business; OFX, QFX, QIF or OFC in AccountRight
- CSV
- Not accepted by the statement import
- Size
- Under 10MB per file
- Order
- Any; statements do not have to be imported in date order
AccountRight on Windows
AccountRight imports the same OFX file while you reconcile, rather than from a separate import screen.
- Go to the Banking command centre and click Reconcile Accounts.
- Choose the account, then enter the statement's closing balance and closing date.
- Click Get Statement, select the OFX file and click OK.
- AccountRight matches what it can by cheque number, date and amount. Use Match Transaction or Add Transaction for the rest.
What's in the OFX file for MYOB
MYOB reads the OFX fields directly, so there is nothing to map. BankConv fills them from the statement.
- Australian statements that print Debit and Credit columns become one signed amount: debits negative, credits positive.
- Opening balance lines are left out. When the statement prints a running balance, the last one is written as the file's balance; without one, the file's balance is 0.00, so take the closing balance from the PDF when you reconcile.
- Descriptions longer than 32 characters are kept in full in the memo field.
- Credit card statements are written as credit card accounts, so import them into a credit card account in MYOB.
- If BankConv can't tell which column holds the dates or amounts, it says so before the download. Download CSV and build the OFX yourself with the free CSV to OFX tool.
The CommBank, Westpac, ANZ and NAB pages show each bank's statement layout. The full walkthrough, with fixes for common import problems, is in how to import a bank statement into MYOB.
MYOB questions
Can MYOB import a CSV bank statement?
Not through the statement import. MYOB Business asks for QIF or OFX files, and AccountRight on Windows reads OFX, QFX, QIF and OFC. Download OFX instead of CSV.
Can I import a PDF bank statement into MYOB?
No. MYOB doesn't read PDFs. Convert the PDF to OFX first and import the OFX file.
Which MYOB editions does this work with?
MYOB Business in the browser, through Import statement, and AccountRight on Windows, through Reconcile Accounts and Get Statement. Both read the same OFX file.
Do I have to import statements in date order?
No. MYOB says you can import statements from earlier or later than the last one you imported. One file per month keeps mistakes easy to find.
Can I import credit card statements?
Yes. BankConv writes credit card statements as credit card accounts in the OFX file; import them into the matching credit card account in MYOB.
